Obtaining Your Official Diploma Transcript

Process to receive an official transcript from DTE (Department of Technical Education), Karnataka
The process to get an official transcript is pretty simple, however, it may look complicated if you are not familiar with the way government organization function. I completed my Diploma in E & C in 2004 in one of the recognized polytechnic in Bangalore. What I found when applying for my official transcript is that the college does not have a clear idea of what an official transcript is, neither is there any procedure hosted on the internal college or the DTE website. Here is the simple definition of a transcript.
“A transcript is an official summary of your academic performance and progress to date. It will only include final marks confirmed by the appropriate Examination Board. A transcript may be required by prospective employers or educational institutions to which you are applying.”

If you are a student who studied a 3 year Diploma course from any one of the colleges listed in the below link, then this blog is for you. I have listed down the steps to obtain the official transcript as you plan for higher studies or applying for a job abroad.

STEP 1: List of documents required from the student
a)      Mark sheets (Original* and 2 photo copies of the same) – Mark sure the photo copies are legible and no part of the content from the original is chopped/missing. The second photo copy will remain with the DTE as proof.
Note: Please include all the 3 years mark sheets even if you have any failed subjects.
b)      Diploma Certificate (Original* and 2 photo copies of the same) - Mark sure the photo copies are legible and no part of the content from the original is chopped/missing. The second photo copy will remain with the DTE as proof.
c)      Consolidated Mark sheet – Some colleges require you to submit a consolidated mark sheet (i.e. all the three years marks in a single sheet). Refer the template below to prepare your own consolidated mark sheet.



d)      Waterproof Envelope (A4 size) – This is to enclose the photo copies of the mark sheet, diploma certificate, consolidated mark sheet and a letter from the DTE.
* Originals are required only for presenting to the DTE staff for verification. Do not enclose the originals in the envelope.
STEP 2: Applying for the transcript
a)      Challan – DTE requires that a payment of Rs. 3000 be made through challan to facilitate the transcript to the student. The challan has to be paid in favor of DTE, Karnataka and payment has to be made at the State Bank of Mysore, Shivajinagar Branch. You will receive a receipt of the payment which has to be submitted to the DTE along with your documents. You can get the callan either at the bank or from a stationary shop near the DTE, Bangalore. 
Note: You may apply for any number of transcripts at a time from the DTE and the amount remains the same.
b)      Document submission to DTE – Enclose all the documents mentioned below in the Waterproof envelope (A4 Size) and submit it to the DTE staff** for verification. Once the photo copies of your documents are verified against the originals the staff will return your original documents back to you. Write a letter in a plain sheet addressed to the Secretary, Board of Technical Exams requesting for the transcript. Now submit the below documents in the envelope.
a.      Mark sheet photo copies (In the order of your passing starting from 1st Year to 3rd Year)
b.      Diploma Certificate photo copy
c.      Consolidated Mark sheet (Refer point ‘c’ in STEP 1)
c)      Receiving Your Transcript – You will receive your transcript from the staff after it has been attested by the Secretary, Board of Technical Exams, with his signature and seal on all your enclosed documents. This will also include a letter from the DTE providing a brief summary of your course and the mode of education. The staff will finally show you the final copy in the envelope before it is sealed with the official stamp.
